Job Descriptions
We have worked really hard to make volunteering easier and more fun on the parents. In turn we are asking that parents do everything they can to show up on time and to work their positions.
There will be a list of resident names and numbers that will be emailed daily (the week of the meets) of residents who are willing to work your volunteer position. The charge for those volunteers to work your position will be $75.
We have great parent volunteers and swim team cannot run without our amazing parent volunteers! Thank you for being an awesome parent volunteer – you are setting a GREAT example for our swimmers and your contribution to swim team is priceless!
Now for the ugly side ~~ there are always about 10% of the volunteer positions that result in problems. Either parents don’t show up, show up but leave their position, or parents show up late. So to be fair to those fabulous parent volunteers and to encourage the 10% to improve, there will be a $40 late show fee assessed to parents who show up late for their volunteer position. For those 10% who just don’t show up, there will be a $75 fee assessed.
Swim meets are a ton of fun and we have worked very hard to make it even more fun for parents. So sign up as soon as possible for your volunteer positions.
Announcer - 2 shifts per meet 4:30 – 7:00 and 7:00 – 9:30pm
Example of commands:
Announce event # and heat # and the boys or girls stroke
Announce who should already be up at the blocks or lined up behind the blocks.
After a short interval, repeat the above for the second call.
The announcer should follow this procedure for all remaining events.
This is an easy position and one where parents see their kids swim. There is a mathematical process that makes this position super easy and fun. You must be articulate and easily understood.
Check in Person- 1 shift 3:15pm to 7:30pm
The volunteer check-in clerk must be arrive at the meet by 3:15 pm for home meets or 3:30 pm for away meets. They check in swimmers and volunteers. The clerk hands out volunteer equipment (i.e. lanyards, pens, clipboards, and stopwatches) . At 4 pm, clerk must inform head coach of all swimmers who have not checked in. Also at 4 pm, clerk must inform Volunteer Coordinator of parents who have not checked in for their volunteer job. Second shift volunteers should check in with the clerk by 7 pm or at event 40 and stand by for their shift no later than 10 minutes before their job starts.
Computer Person (training required)
2 shifts 5-7:30pm and 7:30-10:00pm
Experience Definitely Required. There are usually 2 people doing this job, 1 from home team and 1 from the visiting team. These people enter swimmers' times and places into the computer, figuring points so that we know who won the meet and keeping accurate records of swimmers' times. One parent can do this job alone, but things go a lot more smoothly with two. It is a job that requires some training and attention to detail during the meet, but it is a job that anyone can learn. We prefer to have THE SAME PERSON do this job for all our meets.
Concessions 2 shifts
1st shift 3:30 -6:30pm (1st shift includes set up )
2nd shift 6:30-10pm (2nd shift includes clean up)
This is a fun job! First shift concession stand workers must arrive by 3:30 pm to setup the concession stand and help serve when the concession stand is open. Second shift concession stand workers must take over by 6:30 pm and must stay until the end of the meet to finish cleaning up, take garbage away, and put items back into the storage room. Must check out with the concession coordinators and swim director before leaving.
Deck Manager 2 shifts 5pm-7:30 pm and 7:30pm-9:30pm
For each event, the DM organizes swimmers on pool deck by Heat and Lane once the Shepherd delivers them to the pool deck. Must start 30 minutes prior to meet in order to line up the first few events for start of meet.
Floater/Standby Volunteers
This position is great for those parents who were unable to sign up for a job in time. If all the jobs are filled and you are AVAILABLE and ABLE to work, this is a sort of 'waiting list' for volunteering. When the Parent Volunteer Coordinator is filling the remaining unfilled jobs, they will contact you few days prior to the meet, the day of or upon checkin AT the meet. You will ONLY get credit for the job IF you got assigned a job and you accept. Chances are, you will get assigned a job and earn credit.
Grill Station 2 shifts of 2 person each (4-6:30pm and 6:30-9pm)
Two person Job, taking turns grilling and wrapping burgers and hotdogs to bring to concessions booth for sale. Early shift arrives at 4 pm to clean and prep the grill and area for use. They tart grilling by 4:30pm. Second Shift is from 6:30 to 9pm. They shut down grilling at 8:30pm to clean up the grill and area for close down.

Master Recorder 2 shifts 5:30-7:30 and 7:30-9:30pm
Master recorder takes the times from recorders at each lane. They collect the UK Judges Placing Sheet from the place judge recorder & records the times from each lane then run them to the scoring table.
Place Judges 2 shifts 5:30 – 7:30 and 7:30 – 9:30pm
Experience Definitely Required for this position. Each team provides a place judge.
The place judges must, in all events and at all times, command a clear view of the race and finish line. Judges CANNOT serve as timers in the same race. The judges judge the place finishes as they see them. The judges write the place finish on their updated copy of the meet program. The judge’s recorder at the end of the race copies that order of finish on the UK Judges Placing Form. The place judges override the times and the starter/referee over rides the place judges if there is a dispute. In an eight-lane pool a third finish judge is used to cover all non-scoring places. The first two judges are responsible for all scoring places plus one place. The third judge is responsible for the remaining non-scoring places. To avoid confusion it is advised that only six lanes be swum in an eight-lane pool during the scoring heat. The third place judge is provided by the home team.
Place Judge's Recorder 2 shifts 5:30-7:30 and 7:30-9:30pm
The judge's recorder places himself/herself behind the place judges with his own copy of the UK Judges Placing Form. When the race is finished and the judges and starter/referee have ruled on the place finishes, he/she records the places in the appropriate block on the UK Judges Placing Form. For swimmers who have been disqualified by the starter/referee, the judge’s recorder writes “DQ” in the place block for that swimmer. The judge’s recorder then passes the completed UK Judges Placing Form to the master recorder. The judge's recorder has no say in the order of finish and should not attempt to influence the place judges.
Ribbon Writer 1 Shift, 1 person
This is an easy job, that can be started as late as when the 2nd half of the meet starts, but up to the volunteer. The volunteer gets the stickers from the computer person, then sticks them on the corresponding ribbons and places them in the correct swimmers family folder. Give the folders to head coach when meet is completed. The folders need to be returned to swim office before Fun Friday (or the next practice day).
Hospitality Volunteer
This volunteer walks around the pool deck & tents to make sure all our St Marlo volunteers are well hydrated by offering water. This includes: computer persons, ASA official, timers, deck managers, shepherds, tent supervisors, place judges and coaches. Please make your rounds every 15-20 min. In some cases, if you can relieve them for a bathroom break, this would be MUCH appreciated.
Shepherd
Gather, Organize and escort swimmers for their events from their respective tents. Deliver them to the Deck Manager at least 10 events prior. Notify the Deck Manager & a Jr coach if a swimmer is not on the pool deck at requested time. Must start 30 minutes prior to meet in order to get swimmers to deck on time for event #1.
Tent Supervisor: 2 Shifts 4:30 – 7:30 and 7:30 – 9:30ish
This is a great position to get to know all the kids in your child’s age group. It’s a ton of fun to watch them interact. This position will oversee the swimmers while waiting for their turn to compete. This person will assist the shepherd in assuring the swimmers are ready to compete.
Parents still retain ultimate responsibility for their children and must be present at the meet for all children under the age of 14.
Timers 2 shifts 5:30 – 7:30 and 7:30 – 9:30ish
IN THIS POSITION YOU DEFINITELY GET TO SEE YOUR SWIMMER SWIM!! There are usually two volunteers for this job, 1 from each team. One can time and the other can write the times down.
